What to ask a venue before you book
How many guests will the venue really seat?
Your guest count drives nearly every other line of the budget, and the venue's capacity decides it. Ask for three numbers: a seated dinner, a cocktail-style reception and the ceremony, because they are often three different rooms. Plenty of venues quote a ceremony capacity that is bigger than the number they can seat for dinner in the same building.
Can the ceremony and the reception be in the one place?
An all-in-one venue holds the ceremony and the reception on the same site, so there is no transfer and no gap in the day for guests to fill. Many vineyards, country properties, hotels and beachside resorts do both. Where a venue does only one, allow for transport, for the photographer's time between the two, and for a run sheet that tells guests clearly how to get from one to the other.
What time does the music have to stop?
Most venues set a firm curfew for music, and it depends on where the venue is and what it is licensed for. Ask for it in writing before you book, because it shapes your whole run sheet: a late sparkler exit at a venue with an early curfew needs another plan.
What happens if it rains?
For an outdoor ceremony or cocktail area, ask for the wet weather plan in writing. Some venues include a covered space in the hire, and others leave you to hire a marquee at short notice. Summer humidity on the east coast, autumn afternoon rain and a southerly buster can all change a day, so know the plan before you sign.
Is catering included, or do you bring your own?
Venues cater in one of three ways: full inclusive catering (most hotels, ballrooms and all-in-one venues), in-house catering with a set menu (restaurants and vineyards), or dry hire, where you bring everything yourselves (private estates, marquees and farms). How a venue caters shapes the budget and the whole day, so ask about it before anything else is booked.
Where will your guests stay?
For a venue your guests travel to, such as the Hunter Valley, the Blue Mountains, the Mornington Peninsula or Margaret River, the rooms nearby shape how many of them say yes. Many wineries and country estates have rooms on site, and smaller properties usually keep a list of places close by. Reserve a block of rooms early: we suggest nine to twelve months out for a Saturday in peak season.
How will guests get there, and home again?
For a venue outside a city centre, sort out the transport before you confirm. Coaches, return shuttles, taxis and the places ride-share does not reach are all worth asking about. The trip home is the one couples forget: the wedding may finish at ten, but every guest still has to get home safely.
Common questions about wedding venues in Australia
How do I choose a wedding venue in Australia?
Start with capacity, location and how the venue caters, because those three narrow the field fastest. Venues are either all-in-one (ceremony, reception and catering together), venues with their own in-house catering (restaurants, vineyards and hotels), or dry hire, where you bring your own caterer, bar and styling. Search the directory by style or region, then save the venues you like to your shortlist and compare them inside your wedding plan.
What should I ask before booking a wedding venue?
Ask for the capacity for a seated dinner, a ceremony and a cocktail-style reception, the music curfew, and the wet weather plan in writing. Ask how catering and the bar work (inclusive, in-house or dry hire), whether there are rooms on site and how your guests will get there. Then check Saturday prices against weekday prices, what time you can start setting up on the morning, any rules about vendors (a preferred list, or vendors the venue will not allow), and the cancellation and postponement policy, in writing.
How far ahead should I book a wedding venue?
We suggest 12 to 18 months out for a Saturday in spring or autumn, the busiest seasons, because the venues couples ask for most book first. Six to nine months can work for a Saturday outside peak season and for many Fridays and Sundays. Booking your venue 12 to 18 months out is normal, not early.
What is an all-in-one wedding venue?
An all-in-one wedding venue holds the ceremony, the reception and the catering in one place. Hotels, ballrooms, vineyards and many country estates and beachside resorts work this way. There are no transfers, no gap in transport and one contact for the day. The trade-off is less choice of caterer, because most all-in-one venues use their own team or a short approved list.
Do Australian wedding venues include catering?
It depends on the venue. Hotels, ballrooms and most all-in-one venues include catering in the hire. Restaurants and vineyards usually require their own catering, priced per head. Dry-hire venues, such as private estates, working farms and marquee sites, let you bring your own caterer, bar and equipment. That gives you a free hand with the menu, and it adds the caterer, the bar and the equipment to your budget as separate lines.
How do I compare wedding venue capacity?
Ask for three numbers: the seated dinner, a cocktail-style reception and the ceremony. They are often different rooms in the same venue, and the capacity a venue advertises is usually the highest of the three. For a sit-down wedding, work to the seated number, and we suggest leaving about 10% headroom so there is room to move and to dance: a room filled to its published maximum tends to feel cramped. 850 of the 948 venues in our directory publish a seated capacity.
Where these numbers come from: the listings in our directory, counted on 7 November 2026. They change as businesses join and leave.
