- Coordination executes the plans already made: vendor liaison, runsheet, setup oversight, cues, timings, handovers and problem-solving.
- Planning helps make the decisions: scope, budget, supplier sourcing and the path from idea to booked wedding.
- Styling owns the visual and physical setup: design direction, decor sourcing and installation.
If your venue and suppliers are booked but you do not want family or the wedding party running the day, coordination is usually the relevant service. If major decisions are still open, ask about planning rather than buying more coordination hours.
Set It Up - from $600
This is three hours of careful setup for couples who have already planned and supplied the details. It includes a pre-wedding requirements check plus ceremony and reception element setup in metropolitan Sydney.
It does not include staying to run the ceremony or reception. Confirm who receives late suppliers, cues the ceremony and resolves timeline changes after setup ends.
Coordination Lite - from $1,500
Coordination Lite is six hours and sits between setup-only support and full on-the-day coordination. It includes:
- an initial pre-wedding consultation
- vendor liaison four to six weeks out
- a curated wedding-day runsheet
- ceremony cueing and aisle flow
It suits a wedding where the venue has a capable reception team but the ceremony and supplier handovers still need one accountable person.
On-The-Day coordination - $2,000 to $2,800
The core inclusions are consistent; the coverage window changes:
- 8 hours - $2,000
- 10 hours - $2,400
- 12 hours - $2,800
The service includes vendor liaison four to six weeks out, a curated runsheet, an on-site vendor and family contact, ceremony cueing, timeline management, setup oversight as time permits, problem-solving and basic pack-down of personal decor.
Choose hours by writing the first moment the coordinator must own and the last handover they must complete. Do not choose on ceremony duration alone. Venue access, multi-location travel, setup scale, formalities and pack-down often determine the real window.

Styled & Sorted - from $4,400
Styled & Sorted combines a styling consult, supplier sourcing, decor logistics, setup, pack-down and eight hours of on-the-day coordination. It is for couples who need both a cohesive visual setup and one team accountable for execution.
Wedding Planning - from $7,700
Planning is a broader engagement than coordination. The exact scope should be written into the proposal: which suppliers are sourced, how many options or revisions are included, who owns budget tracking and contracts, and which on-the-day service is included.
What can change a coordination quote?
Ask for each of these in writing:
- Travel and accommodation. Confirm the exact venue, arrival time and whether an early start requires accommodation.
- Team size. Large guest counts, multi-venue days or simultaneous setup areas may require an assistant.
- Coverage window. Confirm when paid time starts, what overtime costs and which final handover is included.
- Setup and pack-down. List the physical elements and clarify venue access, ladders, heavy items and storage.
