Wedding Planner & Coordinator Cost Sydney: 2026 Prices

This is our own price list for 2026. With Managing Matrimony, on-the-day coordination in Sydney is from $2,200 inc. GST for eight hours, and full wedding planning is from $9,900 inc. GST. Quotes are hard to compare when the hours and inclusions differ, so this guide sets out what each of our packages buys, what moves a quote, and the questions that make any coordinator's quote comparable.

It is not presented as a Sydney market average. We have not published a sampled competitor-price study, so our own packages are labelled as our own.

What moves a coordination quote

Every wedding is different, so every price here is a from-price. These are the things that move a quote. We confirm each of them before anything is booked, and when you compare another coordinator's quote, ask for each in writing:

1. The coverage window. Eight hours covers most Sydney weddings from set-up through speeches. A day that starts with an early bump-in or runs to a late pack-down is a 10 or 12 hour window, and we quote it as one. Confirm when paid time starts, what a longer window costs and which final handover is included.
2. A second venue. A church-to-reception move adds travel and a second set-up inside the window.
3. Travel and accommodation. Outside greater Sydney, travel is quoted for the specific venue. Confirm the exact venue, the arrival time and whether an early start needs accommodation.
4. Team size. A large or complex styling install, a large guest count, a multi-venue day or set-up in several areas at once can need a second team member.
5. Set-up and pack-down. List the physical elements, and clarify venue access, ladders, heavy items and storage.
6. Vendor meals and breaks. Schedule them away from speeches and the other moments that need active coverage.
7. Additional events. Ask whether a welcome event or a recovery event is a separate service.
8. GST. Our prices include it. Check whether another quote does before you compare.

The from-price is the entry figure for the package. Your quote states the exact price, with GST shown, and that is the number on your agreement and your invoices.

Coordination, planning and styling are different jobs

• Coordination executes the plans already made: vendor liaison, run sheet, set-up oversight, cues, timings, handovers and problem-solving.
• Planning helps make the decisions: scope, budget, vendor sourcing and the path from idea to booked wedding.
• Styling owns the visual and physical set-up: design direction, decor sourcing and installation.

If your venue and vendors are booked but you do not want family or the wedding party running the day, coordination is usually the relevant service. If major decisions are still open, ask about planning rather than buying more coordination hours. Wedding planner or wedding coordinator goes through which one you need.

Set It Up, from $660

This is three hours of careful set-up for couples who have already planned and supplied the details. It includes a pre-wedding requirements check plus ceremony and reception element set-up in metropolitan Sydney.

It does not include staying to run the ceremony or reception. Confirm who receives late vendors, cues the ceremony and resolves timeline changes after set-up ends.

Coordination Lite, from $1,650

Coordination Lite is six hours and sits between Set It Up and full on-the-day coordination. It includes:

• an initial pre-wedding consultation
• vendor liaison four to six weeks out
• a curated wedding-day run sheet
• ceremony cueing and aisle flow

It suits a wedding where the venue has a capable reception team but the ceremony and vendor handovers still need one accountable person.

On-The-Day Coordination, from $2,200

The core inclusions are the same whichever window you book; the coverage window changes. Eight hours is the entry point, and 10 or 12 hour windows are quoted for your day.

The service includes vendor liaison four to six weeks out, a curated run sheet, an on-site vendor and family contact, ceremony cueing, timeline management, set-up oversight as time permits, problem-solving and basic pack-down of personal decor.

Choose hours by writing the first moment the coordinator must own and the last handover they must complete. Do not choose on ceremony duration alone. Venue access, multi-location travel, set-up scale, formalities and pack-down often determine the real window.

Styled & Sorted, from $4,840

Styled & Sorted combines a styling consult, vendor sourcing, decor logistics, set-up, pack-down and ten hours of on-the-day coordination. It is for couples who need both a cohesive visual set-up and one team accountable for execution.

Wedding Planning, from $9,900

Wedding Planning is the whole wedding planned with you, from the day you book. It includes:

• a planning roadmap with scheduled check-ins
• building and managing your whole-wedding budget, with payment dates tracked (you pay your vendors directly)
• venue scouting with site visits, if your venue is not yet booked
• up to three quotes per vendor category, and contract review before you sign
• a styling consultation, a mood board and the sourcing of your decor
• ten hours of on-the-day coordination with up to two of our team
• the Elevate plan on our platform

How to compare two coordinator quotes

Use the same brief for both:

• exact date and locations
• guest count and venue access time
• first owned moment and final handover
• vendor list
• ceremony and reception format
• set-up and pack-down inventory
• travel and parking constraints
• wet-weather plan
• assistant requirement
• overtime rate, cancellation terms and payment schedule

Then compare scope, ownership and hours, not just the headline price. A lower quote that ends before speeches or excludes set-up is not the same service.
