What to ask a bar service
Read your venue's bar rules before anything else
Venues fall into three groups: licensed venues that run their own bar (often hotels, ballrooms and restaurants), venues that allow an approved outside bar, and dry-hire venues where you bring the whole bar in (private estates, marquee sites, working farms). Read the venue's contract before you fall in love with a bar idea, because it saves an expensive change of plan, and read the corkage detail too, because a BYO clause can look generous until you do.
Plan the bar around the floor plan as well as the drinks
One fixed bar keeps everyone in one spot, which suits a small wedding but can mean queues at a big cocktail reception. Two smaller bars, one in each part of the room, keep people moving, and a feature such as an espresso martini station, a signature cocktail table or a prosecco tower gives guests a reason to wander between them. Give the bar service your floor plan along with the drinks list.
Ask for a price per guest, with and without spirits
A beer and wine package costs less than a full bar with spirits, signature cocktails and Champagne for the toasts. A price per guest moves with your RSVPs, while a flat rate locks you in early. Ask the bar service to show you the price per head with and without spirits, because the gap between the two is worth seeing before you decide.
Agree when the bar opens and when it closes
Work out how long the bar runs, from cocktail hour to the last dance. We suggest closing it 30 to 60 minutes before the farewell, so guests have time to wind down. A drink as guests arrive for the ceremony (a glass of bubbles, or something without alcohol) is a small cost that welcomes everyone. Put the closing time on the run sheet and agree a cue with the bar staff, so the bar closes when the run sheet says it does.
Confirm staffing, licensing and insurance in writing
Ask for bar staff who hold a current RSA (Responsible Service of Alcohol) certificate. At a dry-hire venue, ask the bar service whether your wedding needs a liquor licence and who arranges it. Then confirm in writing who carries the public liability insurance and how many staff will serve, because the number of staff decides how long the queue is.
Give the non-drinkers something better than lemonade
Some guests will skip alcohol for at least part of the night, including the drivers, anyone pregnant, guests who do not drink and the kids. Give them a proper choice, such as a non-alcoholic signature cocktail, a kombucha tap or a short mocktail menu, as well as water and soft drinks.

Common questions about wedding bar services in Australia
How much does a wedding bar package cost in Australia?
It depends on your guest count, how long the bar runs and what you serve. A beer and wine package costs less than a full bar with spirits, signature cocktails and Champagne for toasts. Ask each bar service for a price per guest, and confirm in writing whether RSA-trained staff, glassware and ice are included.
Can we BYO alcohol to our wedding venue?
Sometimes, depending on the venue. Dry-hire venues (private estates, marquees, working farms) may allow BYO with a corkage fee per bottle plus bar staff, while hotels, ballrooms and licensed venues may not allow it at all, or may limit it to a set wine list with corkage. Some vineyards also require their own wines alongside anything you bring, so read the BYO clause before you plan around it.
Do we need a separate bar service if our caterer handles drinks?
Not always. Some caterers include a drinks package, priced per head with RSA staff, and others do the food only, so a dry-hire venue may need a bar service as well as the caterer. Ask at the menu meeting whether the caterer's package covers the bar, or whether the bar is a separate booking.
How does corkage work at an Australian wedding venue?
Corkage is the fee a venue charges for each bottle you bring yourself, and rates vary, sometimes with different fees for wine, beer and spirits; some venues add a BYO service fee per head on top. Ask for the corkage in writing and work out the total for the number of bottles you expect, then compare it with the venue's own drinks package, because sometimes the package works out cheaper and sometimes BYO does.
How many bartenders do we need at our wedding?
It depends on your guest count and the format of the night. A fixed bar needs fewer staff than a cocktail-style reception or a signature cocktail feature, where each drink takes longer to make, and two satellite bars need their own staff. Tell the bar service your guest count and the format together, ask how many bartenders they recommend, and get that number in writing.
What licences and insurance do we need for a dry-hire bar?
Ask the bar service and the venue before you sign: whether your wedding needs a liquor licence and who arranges it, whether the bar service carries public liability insurance, and whether everyone serving holds a current RSA (Responsible Service of Alcohol) certificate. Get the answers in writing.
