Wedding hire categories in Australia

What to ask a hire company

  1. Ask your venue for its inclusion list first

Every venue includes something different. Hotels and full-service venues often include tables, chairs, linen and basic glassware in the hire fee, while vineyards, country properties and dry-hire venues may include tables and chairs only, or nothing at all. Get the venue's list in writing, and whatever is not on it goes on your hire list.

  2. With a marquee, draw the floor plan before you choose the size

A marquee wedding needs more than the tent: a kitchen, a dance floor, a bar, toilets, lighting, heating or cooling, and power. Draw the floor plan first (with your coordinator, if you have one), so you know how big the marquee needs to be, where the tables fit and where everyone goes if the weather turns. Tell the marquee company what the ground is (grass, gravel, sand or pavers), how it drains and how the truck gets in, because all three change how the marquee goes up.

  3. Book the wet weather plan with the hire

For a garden, beach, country or marquee wedding, the wet weather plan belongs in the hire booking, so nobody is deciding it on the morning. Light rain needs clear sides and a weighted floor, and a proper storm needs wall lining, heating and a bar inside. Ask whether the hire company holds wet weather kit on contingency, so you pay to hold it and only use it if the weather turns.

  4. Plan the lighting around your sunset time

Lighting changes how a room feels once the sun goes down. Festoons light an outdoor space, uplighting warms a barn or a marquee, pin spots pick out the flowers, and a wash lights the dance floor. Tell the hire company your sunset time and how long the ceremony and reception run, so the lighting changes as the night goes on, and ask them to walk the venue or study its floor plan before they quote.

  5. Brief the linen, glassware and tableware together

Linen, napkins, plates, glassware and cutlery look best planned as one table, even when they come from different hire companies. Match the linen to your flowers, the napkin fold to the menu (plated or feasting), the number of glasses to your drinks list and the cutlery to the look of the table.

  6. Get delivery, set-up and pack-down times in writing

Ask for the delivery and collection time of each item, in writing. A marquee, a dance floor or large furniture can run to a different schedule from the tableware and decor, and the big pieces may be packed down the next morning rather than that night. At a venue out of town, tell the hire company early about narrow farm gates, soft ground, low clearance or a delivery curfew, because any one of them can change the plan at the last minute.

Common questions about wedding hire in Australia

How much does wedding hire cost in Australia?

It depends on what your venue already includes, whether you are at a dry-hire venue or a marquee site, and how much furniture and lighting you want. Give every hire company the same list of items to quote against, so you can compare the quotes line by line.

What does a wedding marquee actually cost?

It depends on the size, the style and where the venue is, and the marquee itself is only one line of the quote. The flooring, furniture, lighting, heating or cooling and toilets are lines of their own, so ask for each, and ask whether wet weather cover is included or extra.

Do most Australian couples hire wedding furniture or use what the venue provides?

It depends on the venue. Hotels and full-service venues often include tables, chairs, linen and basic glassware, while vineyards, country properties and dry-hire venues may need more hired in, especially lighting, lounge furniture and decor. Ask your venue for its inclusion list, then hire what is missing.

How far in advance should we book wedding hire?

We suggest booking 6 to 9 months before the wedding, and locking in a marquee, large pieces or a particular furniture range first if you are marrying on a busy Saturday. Then confirm your final numbers and table layout 4 to 6 weeks before, once your guest count is settled.

What's the wet-weather plan for an outdoor wedding?

For a garden, beach, country or marquee wedding, book the wet weather plan with your hire, well before the day. Light rain needs clear sides on the marquee, a weighted floor and towels at the entries, and a proper storm needs full wall lining, heating and a bar inside. Some hire companies hold wet weather kit on contingency, so you pay to hold it and only use it if you need it, and the whole plan should be in writing before you sign.

Who handles delivery, setup, and pack-down for wedding hire?

Ask each hire company whether delivery and collection are included, and whether setting up on site costs extra: a marquee, a dance floor, a lighting rig or large furniture may need the set-up written into the quote. Small pieces may be packed down late that night and big ones the next morning, so get the times in writing, especially if the venue limits vehicle access or has a curfew.
